Is there a way to hide completed Deals from the Deals list or show only current Deals?
  • Now that I have been using Batchbook for about half a year, I have many Deals in the Won list that are old and completed. I don't want to have to wade through all of the old ones looking for just current deals. I have already set my own Tag for Current Deals and made a report, but that means I have to use my special report instead of just looking in the Deals tab for current items. 

    I considered adding a user named "Done" and assigning the completed deals to that user, but alas I have the 1 user plan, so I can't do that. Why isn't there a deals status in addition to "Won," "Pending" and "Lost" named "Completed"?

    You can create new Deal Statuses by going to the Deals tab and pressing the green Add button over on the right side of the page.

    Unfortunately, that's not going to help unless you want to view just the completed Deals.  If you are trying to view all but one status type, using the List is going to be the best way to do that.  These are all good points you make, so I'll be sure to mention this to our developers for an enhancement down the road.

  • I'm afraid I don't really know what you mean by "adding new Deal Statuses by going to the Deals tab and pressing the green Add button over on the right side of the page." 

    The button I see is the one with the picture of the money on it, right? When I click that I can add a new Deal, but I can't make the status of it anything except Won, Lost or Pending. Can I add a different Status than one of those? Can I make my own custom Status? If I could make a status called "Complete" then when I looked at Won I would only see current Deals. That is what I am trying to do. So I don't really see what you are saying that I can do with the Add button. Can you clarify a bit more?

    Instead of clicking on the dollar bill with the green arrow to add a deal, click on the "Deal" tab that is right below the WELCOME (YOUR NAME) on the dashboard. Once you click that you will see a section "manage deal statuses" on the right hand side. Under the Lost, Pending, Won there is a green Add button, click that and it will allow you to create your own custom status.

    I believe the 'manage deal statuses' option is only available to admin and owner users - so if you're a basic or advanced user, you won't be able to see the option.

    We use a three-part 'trick' to simulate archiving Deals.

    1. Add a SuperTag with an "Assigned To" field to each Deal. Set the value of that field equal to the main Assigned To field in the Deal. We do this so we can keep track of who the Deal originally belonged to after we perform the next step.

    2. Re-assign the Deals you want to archive to another user (usually an admin or some other person on your team who isn't using BatchBook heavily as part of their daily work). If you don't have someone like that on your team, you can set up a phantom admin user to reassign the Deals to.

    3. Batch remove permissions for all basic users on Deals you reassigned in step 2.

    There are a couple of caveats here. First, the account owner, admin and advanced users will still be able to see all Deals. Basic users, however, will no longer be able to see the 'archived' Deals. We have one customer where the account owner has added a second, basic user account to BatchBook for himself. He logs in as the account owner if he wants access to everything. He logs in to the basic account if he's just doing his daily sales work.

    It's not the most elegant of solutions, but it does the trick.

  • @jkrause, thank you for clarifying this. I was able to go in and add another Status. I don't know why I never noticed that button before -- perhaps I thought it was to add a Deal, not a Status. 

    Kurt, I am a sole proprietor so I guess I have the correct permissions to do this, so I don't need your workaround, but I appreciate your answering my question.

    Is there a way to list deals by date instead of alphabetically?

  • Unfortunately there isn't a way to list them by date.
